Scenario: Problematic Problem Presenter

As an Action Learning Coach how would you handle the following situation:

The problem presenter schedules a half hour meeting immediately before the Action Learning session. During this meeting they present their solution to the problem about to be discussed in the Action Learning session.

    no problem, the team get’s more information before the AL-session. but, I would ask the problem presenter to challenge the team to come with another solution.

    Its not advisable to have any meeting on the problem before Action learning session .

    If the problem has actually been solved and there is no need for the Action Learning group to meet, I’d cancel the session because there is no longer an urgent problem at hand. However, if the problem presenter has a solution in mind but agrees to be open to other ideas, I would continue as planned, and would ask the problem presenter to refrain from sharing their solution when they present the problem. The group may come up with a better idea!

    In the brief on checking that the Problem / Challenge is a good one – I will include the following questions:

    “Are you coming to the session with any preconceived notions about the solutions that may evolve?”
    ” Are you prepared to accept different solutions that may emerge as a result of this exercise including a change in the problem itself?”

    Highlight the difference between a Problem and a Puzzle to the group during the introduction to the session.

    Unfortunately, in this situation it was only upon arrival that the coach discovered the problem presenter was briefing the team.

    I would ask the problem presenter how open they were to other solutions? If they said they were open then I’d continue with the session. If they were not, I would ask the team

    What’s the impact on a problem solving team when the problem owner has already determined the solution before we’ve met?
    What’s the best use of our time given that the problem presenter has already determined the solution?

    I’d follow the teams lead from here.

    I will ask the team what is the impact of a predetermined solution before an AL session? I will then ask them if they are open for change ? Depending on their answer I will decide whether to proceed with the AL session.

    As the problem presenter alread requesting solutions before AL Session, I would like to ask the problem presenter if the solutions provided is sufficient?
    If yes, i would ask the team members to reflect on the situation, and what happens here? (my personal guess is the problem presenter might not have a complex problem in the first place, where AL migth not be needed)
    If no, then I would ask the team and Problem Presenter if they would like to still run the AL Session.

    As an Action Learning Coach, I will intervene as below:

    Coach: Hello sir, what is the purpose of this presentation?
    => I want to check if my solution is ok with everyone.
    Coach: I see. May I know if you still want to proceed the Action Learning session after this presentation?
    => Yes, I do.
    Coach: And what is the problem you intend to present in the session?
    => It’s the problem that I’m presenting.
    Coach: Since you’ve already had the solution for the problem, why do you still want to proceed the AL session?
    => I want to have more options to choose.
    Coach: Hello team, in your opinion, what will happen in the AL session if you know the solution already?
    => Leading approaches. / Being influenced by the presentation / Not interested in exploring the problem
    Coach: What could we do to prevent these impacts?
    => We can hear the presentation after the AL session

    As an AL coach, I won’t have any assumption on the PP’s intention. First, I will check his intention first. Then I check with team’s opinion on the consequences if solutions are presented prior the session. Finally, let team decide how to do better.

    Hello sir, what is the purpose of this presentation? Do you still want to proceed the AL session after the presentation? Hello team, what will happen if you already known the solutions prior the session? What could we do the prevent the impact?
